QuickBooks for Mac does not have a built-in payroll service like the Windows version. When you click the Payroll link you are taken to an external website for processing employee checks. Since QuickBooks doesn't provide a built-in method for manually tracking payroll, employers who want to track payroll for employees in QuickBooks must subscribe and pay a monthly fee to access the online QuickBooks Payroll for Mac service. Before enrolling in the QuickBooks payroll system, make sure each employee's name is spelled exactly how you plan on spelling it for paychecks. If the data between QuickBooks and QuickBooks payroll don't match, the program won't work correctly.
Select the option to print checks by yourself, hand-write checks or send employees a direct deposit of the paycheck for free. Confirm your options and select whether to email employees with a link to the online version of the pay stub.
Quickbooks Mac Options For Payroll
Both QuickBooks and FreshBooks offer live support options; however, QuickBooks pushes customers to use self-help resources first. Along with an easily navigated interface, FreshBooks offers a variety of other benefits including free toll-free customer support, with email support available as well.
Wave Accounting does not include many support options, though accounting users can access the online help center for answers to questions. If you subscribe to either Wave Payments or Wave Payroll, you will have access to chat support as well.
The application also includes payroll, with both self-service and full-service payroll available. AccountEdge Pro also offers features found in other small business accounting applications, such as a customer portal and the ability to accept customer payments online, though the application does not currently offer an automatic bank feed.
AccountEdge Pro has a one-time fee of $399 for a single user, with each subsequent user charged $249. This fee is only paid once, not annually. A subscription to the payroll module will cost $249 annually, and telephone support is $199 annually.
The reporting options in Kashoo are still limited to fairly standard financial statements, with little available in the way of customization, although reports can be exported to Microsoft Excel if desired.
While both QuickBooks and Xero allow for app integration, Xero goes above and beyond with more than 700 app integrations, extending the basic functionality of the application considerably. Apps are available in numerous categories including CRM, e-commerce, time tracking, practice management, payroll, and point of sale.
Xero pricing starts at $9 per month, though the features are quite limited. Most small businesses would likely start with the Growing plan, which is $30 per month. If you need payroll, Xero integrates with Gusto Payroll, with subscriptions starting at $39.95 per month.
Zoho Books includes a long list of features normally available in much more comprehensive applications. With its easy to use interface and tons of help options, Zoho Books is great for the tech novice who is more comfortable with a spreadsheet application than a software application.
Like Intuit (the maker of QuickBooks), Sage has a wide variety of options for helping you scale your business, including an accountant partner program and its own series of conferences to help you learn, collaborate and grow.
If you use the desktop version of QuickBooks for your accounting software and Patriot Software to run payroll, you may want to export your payroll data into QuickBooks. An Intuit Interchange Format (IIF) file is a file specifically used to import transactions into QuickBooks. You can create this file using Patriot and then upload it to your QuickBooks, so that you have all your payroll data easily accessible. QuickBooks Payroll is the most expensive payroll solution I've reviewed. There are three subscription levels. I reviewed QuickBooks Payroll Core, the least expensive version at $45 per month plus $4 per employee per month. Its primary features include unlimited payroll runs, automated payroll taxes and filings, health and retirement plans, next-day direct deposit, and reports.
Onboarding is by far the most challenging and complex part of using any payroll system. QuickBooks Payroll Core offers extra assistance with it. If you're using the site to pay your first employees and don't have any previous payroll data, you may be able to go through the setup on your own. Still, chat and phone support are available from 6 a.m. to 6 p.m. PST Monday through Friday.
If you've already been paying employees through a different payroll service like ADP or Gusto, you can upload payroll reports into QuickBooks Payroll, where key information is validated and pre-filled.
Adding employees is the most time-consuming step of getting set up. Some online payroll services, including OnPay, use separate areas of the site for tasks like creating pay schedules and defining benefits and other withholdings. Others, including QuickBooks Payroll and Square Payroll, take care of those tasks in the employee records. QuickBooks Payroll Core presents one lengthy screen for entering all your employee information, though when you go in to edit or view an existing record, the site divides the screen into three sections.
Click Preview payroll (or Save for later) to look over that payroll before you approve it. At the top of the page is your total payroll run cost. QuickBooks Payroll breaks down the numbers by net pay, employee, and employer in a pie chart. Below that is a table listing employees paid in that run with columns for Pay Method, Total Hours, Total Pay, Employee Taxes and Deductions, and Net Pay.
The final step occurs when you click Submit Payroll. All that remains is to enter check numbers (if necessary), print pay stubs, and then click Finish Payroll to go back to the Overview. Links at the bottom of this screen take you to payroll reports and to the export tool.
The iPhone app works differently. It opens to your list of employees, with a bar graph showing totals for the most recent four payrolls. Clicking on an employee's name opens the same brief record as in the Android version, and a Payday link in the upper-right takes you to a payroll run. You click on a worker's name to enter hours, click to preview, and click to approve.
From the navigation menu, you can access tax information, payroll history, and settings. The settings let you set up a passcode, toggle sounds and contact photos on and off, and opt to have the app remember your payroll hours.
Employees can access their own pay stubs, and W-2s by creating an account on the Workforce portal (on both desktop and mobile), which has been redesigned and enhanced recently. They can now enter and edit more of their personal profile and security information, and access YTD pay and available sick pay and PTO. During setup, employees are invited to join Credit Karma Money (integrated checking and savings accounts with special perks), and Early Pay (instant access to funds between paydays). Some competitors like Gusto also offer specialized banking options. And many offer more in their worker versions. OnPay, for example, includes a company directory and conversation feature, as well as company files and forms.
QuickBooks Payroll Core is a good option for businesses that also use QuickBooks Online for their accounting. QuickBooks Payroll is fleshed out enough to successfully run a complex payroll, and it's very usable. However, the site is missing some of the flexibility and depth of sites like Gusto and Rippling, such as robust employee portals, focused online help, custom fields (and more detail) in employee records, and a meatier mobile presence.
